đ How-To Guide: The Gap Analysis Section
This section is a powerful, organization-wide report that "zooms out" to show you exactly where your compliance gaps are. It directly compares your Standards, Policies, and Evidence to find what is missing, expired, or needs review.
1. How to Access the Gap Analysis Section
- Step 1: On the left-hand navigation bar, find and click on the "Gap Analysis" link. It is highlighted in purple and has a pie chart icon.

2. How to Filter the Report
The Gap Analysis report can be filtered to show data for the whole organization or a specific location.
- Step 1: At the top-right of the page, find the "Filter by:" dropdown menu.
- Step 2: Click the dropdown to select the scope you want to view: "All - Organization" or a specific facility like "Facility 01," "Facility 02," or "Facility 03".
- Step 3: The report on the page will update to reflect the data for your selected scope.
3. How to Navigate Between Standards
The report is organized into tabs, with one tab for each of your compliance standards.
- Step 1: At the top of the report, find the row of tabs: "The Person," "The Organisation," "The Care & Service," "The Environment," etc..
- Step 2: Click on any of these tabs to switch the report and view the gaps for that specific standard. The selected tab will be highlighted with a pink line underneath.
4. How to Read the Report and Identify Gaps
This report is broken into four columns. Reading them from left to right tells you what is required and what is missing.
- OUTCOMES Column: Shows the high-level outcomes for the standard (e.g., "4.1 Environment and equipment at home").
- ACTIONS Column: Shows the specific, actionable requirements for each outcome (e.g., "4.1.1", "4.1.2").
- POLICY Column: This column shows whether you have a policy linked to each action. This is where you find your first type of gap.
- â Green Checkmark: (e.g., next to "Cultural Identity and Inclusion Policy Framework") GAP FILLED. You have a valid, linked policy for this action.
- â ī¸ Yellow Triangle: (e.g., next to "Supporting Safe and Comfortable Living Environments...") WARNING. A policy is linked, but it may be in "draft," "expired," or "needs review." This is a potential gap.
- đĢ Red Circle: (e.g., next to "No Policies") GAP FOUND. There is no policy linked to this action at all.
- EVIDENCE Column: This column shows whether you have proof (an uploaded document) linked to each action. This is where you find your second type of gap.
- â Green Checkmark: (e.g., next to "Resident Intake Form") GAP FILLED. You have valid, linked evidence to prove you are doing this action.
- âšī¸ Orange Circle: (e.g., next to "No Evidences") GAP FOUND. Even if you have a policy, you have "No Evidences" (no proof) uploaded to show you are following it.
How to use this information: Your goal is to turn all icons in the "POLICY" and "EVIDENCE" columns into Green Checkmarks.
- If you see a đĢ Red "No Policies" icon, you need to go to the Policies Section and either create a new policy or link an existing one to that action.
- If you see an âšī¸ Orange "No Evidences" icon, you need to go to the Evidence Section and upload the proof (like a form, log, or report) and map it to that action.
